# Data Export - User manual

Export creates a **JSON snapshot** of the Poelis data you have access to. It’s designed for offline analysis, archival, migrations, audits, and sharing data with downstream tooling (Python, MATLAB, internal pipelines).
You can export **everything** in your organization, or **only selected workspaces and products**.

## Where to find it

This functionality is **only** available to organization’s **administrators**

1. Open **Settings**.

2. In **Organization Data Export**, click **Export data**.

This opens a selection dialog where you choose what to include.

## Choose what to export

The export dialog is organized as a tree:

* **Select All Workspaces** (top option)

* A list of **workspaces**, each expandable to show its **products**

### Export everything

To export the whole organization snapshot:

1. Enable **Select All Workspaces**.

2. Click **Export Selected**.

Use this when you need a complete backup or a full data dump for an external system.

### Export specific workspaces / products

To export only a subset:

1. Expand the workspace(s) you want.

2. Select either:

* the **workspace checkbox** (includes all its products), or
* specific **product checkboxes** (includes only those products)

3. Click **Export Selected**.

This is useful when you only need data for one project (workspace) or one system (product), or you want smaller exports for faster iteration.

## What you get

When you click **Export Selected**, Poelis generates a **downloadable JSON file** containing a snapshot of the selected scope.
In general, expect the export to include:

* Workspace and product structure (hierarchies)

* Entities and their fields (e.g., items, properties, metadata)

* Relationships needed to reconstruct the structure (parent/child, references)

If something isn’t visible to you in Poelis due to permissions, it won’t appear in the export.

## Permissions and access rules

Exports follow the same access boundaries as the app:

* You can only export workspaces/products you can see.

* If you can see a workspace but not a product (or vice versa), selection and output reflect that.
